What information we collect

When you join a VOY choir, book a taster session, or get in touch with us, we usually collect:

• Your first name and last name
• Your mobile phone number
• Which choir you sing with
• The voice part you sing (for example Part 1, Part 2 or Part 3)
• Which sessions you plan to attend in each block
• Whether you are coming to a gig or event
• Payment notes, such as when you have paid for a block
• Any message you send us through the website, Nick Bot or contact form

Why we collect it

We use your details to run the choirs safely and keep everyone informed. This includes:

• Sending you text messages about rehearsals, block dates, payments and gigs
• Knowing who is coming to each session or performance
• Planning songs and voice parts for each choir
• Tracking cash payments for choir sessions
• Replying to your questions and feedback
• Helping new members find the right choir and taster session

Who can see your information

Your information is only used by the VOY team who need it to run the choirs. This is Nick and Sally. We do not sell your details to anyone else.

Photos and videos

By joining and taking part in Voices of Yorkshire, you agree that photos and videos taken at rehearsals, gigs and events may be used on our website, social media and promotional materials. If you ever want a particular photo or video of you removed, just ask Nick or Sally.

Text messages

We send text messages using a service called Twilio. Your phone number is only used by VOY to send choir-related messages. We do not use it for marketing from other companies.

Payments

VOY choir sessions are paid for in cash, in a named envelope, one week before each block starts. We do not take online payments through the website, so we do not store card or bank details online. We keep a simple record of who has paid for each block so we can keep the choir finances fair and clear.

How long we keep your information

We keep your details while you are an active member of Voices of Yorkshire. If you leave, we will remove your contact details from our active lists as soon as we can, unless we need to keep a record for a short time for legal or financial reasons.

Your choices

You can ask us to:

• Show you the personal information we hold about you
• Correct any information that is wrong or out of date
• Remove your details if you no longer want to be a member
• Stop sending you text messages

Cookies and website tracking

The VOY website uses basic cookies to keep you signed in to the members’ area. We do not use advertising cookies or track you across other websites.

Changes to this notice

We may update this notice from time to time if the way we use information changes. The latest version will always be available on this page.
